What is Unified Communications as a Service (UCaaS)?

UCaaS is a category of “as a service” or “cloud” delivery mechanism for Unified Communications (UC) features and functions. Essentially it is a telephone system with which there is no hardware or software to purchase, or to install – just a monthly service hosted by a provider, and your handsets.

Why would a business want to consider UCaaS?

Many businesses looking to transition away from their legacy telephone systems are looking to UCaaS as a solution. One of the main reasons behind that is affordability – many businesses can realize significant monthly cost savings with a UCaaS solution rather than replacing it with a new hardware/software solution.

Before UCaaS many advanced productivity features such as smartphone integration, video calling, desktop sharing and instant messaging, were beyond the reach of many small businesses. Even though there is certainly value in them, they just couldn’t justify the $1000+ cost per extension and ongoing maintenance to implement a system with these capabilities. UCaaS changes that – it brings all the capabilities of a fully featured, enterprise-grade telecommunications and collaboration system to the desktop of the small business owner and their employees.

UCaaS typically trades a significant capital investment for a small upfront cost and an incrementally higher ongoing, operating-style cost. However, in many cases once you take into account the costs of their PRI or analog trunks, plus their ongoing service costs, their monthly costs actually go down, and since the cost is now completely predictable, budgeting for it is made easier.

It also more closely matches your costs to the scale of your business. Hired a new employee? A quick phone call and you’ve got a new extension and phone at their desk with just an incremental increase in the fee. Had to scale back a bit, or have some seasonal employees? Remove the extensions you don’t need and your costs go down. Never pay for more than you need again.

On top of all of that, UCaaS improve reliability and disaster recovery. Power outage in your office? No problem – grab your cell phone with your mobile app and you can still make and receive calls with your business extension without interruption. Or, grab your handset, take it home and plug it in to your internet connection.
